Before You Book: AV Essentials for Corporate Events

Whether you are planning a company town hall, an industry conference, or an executive presentation, getting the AV right is one of those things nobody notices when it works — and everyone notices when it does not. Here is a practical checklist we have developed from supporting hundreds of corporate events across Connecticut.

Audio Essentials

Microphones

The most critical piece. Bad audio ruins an otherwise great presentation.

For single presenters: A wireless lavalier (lapel) microphone gives the speaker freedom to move naturally and use their hands. A wireless handheld is a good backup or alternative for speakers who prefer to hold a mic.

For panel discussions: One wireless mic per panelist. Gooseneck microphones usually work best, but its typical to also have a lavalier or handheld mic available for any presenations. Budget for one extra channel as a backup.

For audience Q&A: A wireless handheld microphone that can be passed to audience members. For large rooms, consider two so runners can cover both sides.

Our rule of thumb: Count the maximum number of people who will speak at any one time, add one or two backup channels, and that is your wireless mic count.

Speakers and Sound System

The PA system needs to fill your room evenly without being too loud in the front rows or too quiet in the back.

Under 100 attendees: A pair of powered speakers on stands is usually sufficient. Place them at the front of the room angled to cover the audience.

100 to 300 attendees: Larger powered speakers, potentially with subwoofers for music or video playback. Consider delay speakers for deeper rooms.

300+ attendees: A line array or distributed speaker system for even coverage across large ballrooms or conference halls.

Mixing Console

A digital mixing console lets your audio technician manage all inputs, apply EQ, and adjust levels in real time. For corporate events, a compact digital mixer handles most scenarios cleanly.

Planning and Logistics

Venue Assessment

Visit the venue in advance if possible. Check for room dimensions and ceiling height (affects speaker placement and coverage), ambient noise sources like HVAC and kitchen noise and street traffic, power outlet locations and available circuits, and existing house audio systems and whether they can be used or patched into.

Timing

Book your AV provider at least 2 to 4 weeks before the event. For large conferences or peak season (spring and fall), 4 to 8 weeks is better. Last-minute AV is possible but limits your options.

Tech Rehearsal

Always budget time for a sound check before your event. For a half-day conference, 60 to 90 minutes of setup and testing before doors open is standard. For multi-day events, a full tech rehearsal the day before is worth the investment.

Day-Of Considerations

Have your AV technician arrive at least 2 hours before the event starts. Run a sound check with the actual presenters if possible — every voice is different. Test all wireless mic channels and verify that switching between presenters works smoothly. Confirm laptop audio playback works through the sound system. Keep spare batteries on hand for all wireless devices.
